Privacy Policy

Effective date: 8 November 2026

AJ’s Stainless Pty Ltd, trading as Marko Stainless & Aluminium (“Marko”, “we”, “us” or “our”), respects your privacy. This policy explains how we handle personal information through our website, telephone calls, email and our day-to-day business activities.

1. Information we collect

We collect information reasonably needed to respond to enquiries and supply our products and services. This can include your name, contact details, business name, billing or delivery address, project location, drawings, photographs, measurements, correspondence and information about quotations, orders and payments. Calls and voicemail may also generate recordings and call details, such as the calling number, time and duration.

When you use our website, information such as your IP address, browser and device details, pages visited and referral source may be collected through website, security, cookie and analytics tools. Some of this information can identify you or be linked to you.

Please provide only information relevant to your enquiry or work. Avoid including unnecessary personal information about other people, passwords, payment card security codes or other confidential credentials in messages, documents or recordings.

2. How we collect information

We collect information when you contact us, complete a website form, request a quotation, provide project documents, place an order, arrange delivery or otherwise deal with us. We may also receive relevant information from your authorised representatives, builders, project contacts, suppliers and service providers involved in the work.

You may make a general enquiry without providing your full details where practicable. We may need contact, project and billing information to prepare a useful quotation, arrange work or fulfil an order. If necessary information is not provided, we may be unable to complete that request.

3. Telephone calls and voicemail

We use a business call-recording service. Calls to and from our business, and voicemail messages, may be recorded through our telephone and recording services. We use relevant call information to understand enquiries, maintain accurate business records, prepare quotations, follow up requests and administer jobs.

If you do not wish to continue with a recorded call or leave a recorded message, please end the call and email sales@markostainless.com.au. Ending the call does not remove information already captured. Please do not provide payment card details, passwords or other confidential credentials in a recorded call or voicemail.

Recordings may be transcribed and summarised to help us manage enquiries and jobs, including through AI-assisted tools where those functions are enabled. We use relevant transcripts and summaries for the business purposes described in this policy. Before introducing materially different call-processing arrangements, we review the applicable notices, permissions and provider safeguards and update information about our handling practices as needed.

4. How we use information

We use personal information to respond to enquiries, clarify specifications, prepare and revise quotations, manage customer and supplier accounts, arrange fabrication and delivery, provide support, maintain business records and meet applicable legal obligations. We may also use relevant information to improve our services and website, and to communicate service updates or marketing where permitted. You can ask us to stop sending marketing communications or use any unsubscribe option provided.

5. AI-assisted administration

We use AI-assisted tools to support administrative work, such as reviewing correspondence and preparing draft summaries and responses. Relevant enquiry, quotation and job information may be handled using approved business AI tools and recorded in our customer, quoting, job management and other business systems.

AI output can be inaccurate. Material details, including names, addresses, dimensions, prices, dates and changes to scope, need checking before they are relied on. An AI-generated summary or draft does not itself constitute an approved quotation, accepted variation, instruction to begin fabrication or authorisation to make a payment.

Using a service provider or AI tool does not give us permission to use your information for unrelated purposes. Please contact us if you have questions or concerns about AI-assisted handling of information relating to your enquiry.

6. Service providers and other disclosures

We do not sell, rent or trade your personal information. We may disclose relevant information to providers who support our telecommunications, recording, website, IT, cloud storage, accounting, payment, AI and job administration services, and to suppliers, freight providers, advisers or project participants where needed to provide the requested services. We may also disclose information where required or authorised by law.

The information handled by each provider depends on its role and the services and functions enabled for our business. Where further information about a particular disclosure is needed, we provide it through the relevant collection notice or direct communication.

7. Overseas handling

Some cloud and service providers, or their subprocessors, may store, process or access personal information outside Australia, including in the United States. The locations depend on the service, its configuration and provider arrangements. Australian storage does not necessarily mean all processing or support access occurs in Australia.

We take reasonable steps appropriate to our circumstances and applicable obligations when selecting and using providers that handle personal information. You can contact us for information about the providers and overseas handling relevant to your enquiry. Where our likely overseas disclosures change, we will review this policy and the relevant collection notices.

8. Storage, security and retention

We take reasonable steps to protect personal information against loss, misuse and unauthorised access, alteration or disclosure. The safeguards appropriate to a record depend on the information and the systems in which it is held. No internet transmission or electronic system can be guaranteed completely secure.

We retain personal information for the business purposes for which it is needed and to meet applicable legal, accounting, contractual and dispute-related requirements. When information is no longer needed, we take reasonable steps to delete it or de-identify it, subject to those requirements and the way records are held in provider and backup systems.

9. Cookies and external websites

Our website uses cookies and related tools to support functionality, security and analysis of website use. You can manage cookies through your browser settings, although restricting them may affect some website features.

Our website may contain links or embedded services provided by other organisations. Their handling of information is governed by their own privacy notices. Review those notices when using their services.

10. Access, correction and privacy complaints

You can request access to personal information we hold about you, ask for a correction, or raise a privacy concern using the contact details below. Please explain the information or issue involved so we can locate the relevant records. We may need to verify your identity before providing access; please do not email identity documents or confidential credentials unless we have arranged an appropriate way to receive them.

We will assess your request or complaint and explain our response and any applicable reason we cannot provide the requested access or correction. For privacy complaints, please first give us the opportunity to investigate and respond. We aim to respond within 30 days; if more time is needed, we will let you know. If your concern remains unresolved, you may contact the Office of the Australian Information Commissioner, where applicable.
